Whether or not you’re an arts marketing professional, or just the average office worker you know that time is a valuable commodity. Productivity is dependent on time and your management of it.
The challenge is that we all have 167 hours in the week. Time is limited. How can we make the most use of time and how can we maximize our productivity? In this post I’ll share my top five timesaving tips and tools you can use too!
These tools are meant to help you be faster, or as least more efficient in your work so let’s get started.
Organize your day
This is a tip that I’ve learned in the years of professional work and various jobs. Take the last 15 minutes of your day at work to process your day and schedule out the next. Set or review your schedule, lay out paperwork you need to complete, organize your task list, etc.
One thing I would suggest to you is to figure out if you work better in the morning, afternoon, or evening. If you know that you work the best in the afternoon, then schedule your most important items accordingly. Conversely, tasks that are menial like filing emails or lower priority things can be done when your energy is lower.
Use an app called Textexpander
Imagine having to manually type in your information like name, address, phone number, city, state, zip code, etc into forms for orders you make or general forms. Imagine that you respond to emails with a similar response over and over. That would be very boring and time consuming. What if you could have shortcuts that fill that information out or automatically generate email responses? That would save you time!
Textexpander is such a tool. Setup would take a while, but once you get it set up and running, you will save time by not having to spend so much typing time at your computer.

Use an app called CoSchedule
CoSchedule is an amazing tool to coordinate marketing efforts and the production of various content types. Using CoSchedule will help you stay on task and more productive in your marketing.
Plus, if you write a lot of evergreen content then CoSchedule’s ReQueue feature is a must have. You or your team can designate which posts can be reused in the future. Essentially, it will post to social media for you until you stop the automation. It’s great because you will always be posting something, even if you’re not actively doing it.

Use an app called Asana
According to reports, businesses waste a lot of time talking about work in the form of emails or messages. Essentially, you’re talking about work and not doing work because emails or messages are occupying your time. What if, instead of talking about work you had a system in place to assign tasks and work on projects and stay focused on the work at hand?
Enter Asana. Asana is a project management and work management application that lets you create projects for your team and assign work and tasks to your team without bogging you down with emails and extraneous messages. According to Asana, you’ll become 45% more productive if you adopt their system.

Use an app called Dashlane
You can waste a lot of time if you need to log in to various websites and remember all those passwords. And, if you order a lot of things online, you need to either memorize your credit card information (which is highly dangerous if you like to spend money), or just keep it with you at all times for reference.
Dashlane is a secure environment where you can store all your log in information inside the app, and use the app to either log in to your sites through the app, or you can automatically fill in the information in your browser.
What’s more, is that if you work with a team of people, you can share access to sites and passwords without compromising your accounts. Dashlane can even suggest really strong passwords that you don’t have to remember and protect you if websites that you use get hacked and they steal your information.
